The job of a Central Office Secretary was established for the purpose(s) of providing secretarial duties to support assigned administrative personnel; communicating information to staff members, the public and other districts; ensuring compliance with financial, legal and administrative requirements; and providing information and/or direction as may be requested.

Work Year: 8.0 hours/day 7:30am-4:00pm* 261 days/year
Position begins immediately.
*There are times throughout the year that this position has to cover a shift that works 5:30am-2:00pm
Probationary Pay Rate: $18.31/hr. for 1st 45 Worked Days then moves to $19.25/hr.
Qualifications:
High School diploma or its equivalent. Five years' experience supporting an administrator required. General knowledge of office procedures and equipment. Must pass basic skills assessment, pertinent to position qualifications, at 80% on file in the Human Resources Department. If testing is not on file, selected candidates will be contacted for testing.
Basic Responsibilities:
- Attend meetings as assigned (e.g. staff meetings and interviews) for the purpose of conveying and/or gathering information required to perform functions.
- Verify and ensure accuracy of attendance records (i.e. Kronos) for employees for the purpose of complying with District attendance policy.
- Coordinate a variety of programs and activities (e.g. meetings, site in-service day activities, workshops, computer testing, conferences, field trips) for the purpose of delivering services in conformance to established guidelines.
- Evaluate situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Maintain inventories of supplies and materials for the purpose of providing item availability
- Monitor assigned district activities and/or program components for the purpose of coordinating activities and providing compliance with established financial, legal and/or administrative requirements.
- Perform record keeping (confidential and non-confidential), general and program specific clerical functions (e.g. scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials.
- Prepare written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Process documents and materials for the purpose of disseminating information to appropriate parties.
- Receive and screen by phone or in person from parents, community representatives, vendors, and District personnel for the purpose of providing information or directing to appropriate parties.
- Research a variety of topics (e.g. current practices, policies, etc.) for the purpose of providing information for addressing a variety of administrative requirements.
- Respond to inquiries from a variety of internal and external parties (e.g. staff, applicants, parents, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Maintain regular attendance and punctuality for the purpose of ensuring efficient delivery of services to the District.
- Occasionally assist other personnel for the purpose of supporting them in the completion of their work activities.
