Description | The job of an Elementary Secretary was established for the purpose/s of providing secretarial support to school site administrator; coordinating building activities for students, staff, administration, and the community; ensuring compliance of activities under area of responsibility with financial, legal, and administrative requirements; supporting the broad array of services provided to students, parents, and staff members; and providing recommendations and/or direction as may be requested by assigned administrator.

8.0 hours/day 7:30am-4:00pm
Probationary Pay Rate: $18.31/hr. for 1st 45 Worked Days then moves to $19.25/hr.
Qualifications:
High School diploma or its equivalent. Two (2) years of previous clerical experience, and a working knowledge of general office procedures and equipment required. Ability to prioritize and organize multiple tasks and to work independently, as well as with others in a cooperative manner. Must pass OPAC basic skills assessment, pertinent to position qualifications, at 80% on file in the Human Resources Department. If OPAC testing is not on file, selected candidates will be contacted for testing.
Basic Responsibilities:
- Verify and ensure accuracy of attendance records (i.e. Kronos) for employees for the purpose of complying with District attendance policy.
- Attend meetings as assigned for the purpose of conveying and/or gathering information required to perform the job functions.
- Compose documents (e.g. newsletters, standardized correspondence, bulletins, etc.) for the purpose of documenting events, providing and or requesting information.
- Coordinate a variety of programs, activities and building use (e.g. meetings, site in-service day activities, health screenings, assemblies, workshops, ceremonies, luncheons, etc.) for the purpose of delivering services in conformance to established guidelines.
- Evaluate situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Maintain inventories of supplies and materials for the purpose of providing item availability.
- Monitor assigned district activities and/or program components for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
- Order, verify, receive and distribute supplies and ancillary materials for building for the purpose of providing item availability.
- Perform bookkeeping tasks (e.g. internal accounts, petty cash, audits, etc.) for the purpose of providing accurate accounting of site budgets.
- Perform record keeping (confidential and non-confidential) and general and program specific clerical functions (e.g. scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials.
- Prepare written materials (e.g. reports, newsletters, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Present information on administrative procedures (e.g. services, regulations, class schedules, keys, etc.) for the purpose of training and orienting other personnel and/or disseminating information to appropriate parties.
- Process documents and materials (e.g. time sheets, conference forms, etc.) for the purpose of disseminating information to appropriate parties.
- Respond to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Maintain regular personal attendance and punctuality for the purpose of ensuring efficient delivery of services to the District.
- Occasionally assist other personnel for the purpose of supporting them in the completion of their work activities.
